Are there any one-time setup or onboarding fees?
No. Plans are purchased and then paused until your firm confirms a match and work begins.
What happens after we sign up for a plan?
You’re assigned a dedicated Legal Account Supervisor (LAS) who works with Zirtual Paralegal’s President to select a candidate aligned to your firm’s practice and needs. You’ll review the candidate’s resume and professional summary, and if it looks promising, join an introductory call with the LAS. You can interview the candidate and decide whether to move forward. If it’s not the right fit, we’ll present another candidate and repeat the process.
Who are your Paralegals and Legal Assistants?
All Zirtual Paralegal professionals are U.S.-based, practice-specific paralegals and legal assistants with senior experience.
How are candidates sourced and screened?
Many of our candidates are curated through our private paralegal entrepreneur network and mentorship programs. We also source from traditional channels (job boards, passive outreach). Our screening process invovles multi-stage interviews, reference and background checks, as well as sample work reviews. Successful candidates are admitted to the Zirtual Paralegal network and become eligible for client assignments. They also receive ongoing training opportunities, mentorship, and become part of the Zirtual community.
How successful is your matching?
Zirtual Paralegals maintains a 98% first-time successful match rate based on our experience with over 400 law firms. If you’re not fully confident in a candidate, we’ll present additional options.
What’s the typical turnaround to present a qualified candidate?
Usually 1 – 2 weeks, depending on your specific needs. We have also made placements in as little as 48 hours. Our priority is to provide a candidate who can deliver immediate impact without substantive training beyond your firm’s internal operations.
Do you provide role‑specific training (e.g., legal research, case management, document prep)?
Zirtual Paralegals candidates arrive with senior‑level, practice‑specific experience (e.g., a corporate paralegal typically has 5+ years in corporate law). Because of these standards, they come prepared with the skills your role requires. When part of the Zirtual network, our candidates also receive access to ongoing training opportunities.
Do you conduct continuing training or performance monitoring?
Your Legal Account Supervisor actively monitors relationship satisfaction and is available to support day‑to‑day success. Zirtual Paralegals also offers optional webinars and other training opportunities to our network for personal and professional growth.
How do PVAs/LVAs work within our firm’s systems?
Your Paralegal or Legal Assistant integrates into your firm’s existing tools and processes for smooth delegation with minimal lift. If they’ll correspond with clients, opposing counsel, or third parties, we encourage providing a firm‑branded email address.
If you prefer not to integrate them into your software, we’ll establish a collaboration process that works for you.
Do your Paralegals and Legal Assistants work remotely or from a managed office?
They work remotely. As part of recruitment, we verify a professional remote office setup.
What communication, project management, and time‑tracking tools do you use?
For time-tracking, Zirtual Paralegals uses Harvest to record time towards your monthly plan. You’ll have access to the Zirtual Paralegal client portal to check usage at any time. Zirtual Paralegals and Legal Assistants provide advance notice if they are nearing their hourly limits or are under-utilized, ensuring no time is wasted. Zirtual Paralegals and Legal Assistants adopt your preferred project management and communication tools to keep delegation seamless.
What are the contract terms and notice periods?
Plans are month‑to‑month with no long‑term commitments. To cancel or downgrade, provide 24 business hours’ notice before your automatic renewal date. You can upgrade or add supplemental hours at any time. You can see our Terms of Service for full details.
How do you handle data security, confidentiality, and compliance?
Our Legal Virtual Assistants and Paralegal Virtual Assistants are seasoned law‑firm professionals who manage their own conflict‑checking protocols and sign a Confidentiality Agreement with Zirtual Paralegals. Many firms also request their own NDA or Data Security & Confidentiality Agreements—your matched PVA/LVA is willing to sign those as well.
Do we get client support or account management?
Yes. Your dedicated Legal Account Supervisor supports billing and time‑entry questions, monitors relationship health, and ensures your overall satisfaction—while you continue to collaborate directly with your Paralegal Virtual Assistant or Legal Virtual Assistant day‑to‑day.
How are performance reviews and escalations handled?
Zirtual Paralegals conducts routine, ongoing performance oversight. In the rare event a professional does not meet expectations, we remove them from our network to keep our talent pool top‑tier. Escalations beyond your Legal Account Supervisor go directly to the President of the Paralegal Division. Zirtual Paralegal’s leadership has extensive law‑firm and legal industry experience, so your concerns are understood clearly and addressed promptly.
Can we scale support up or down?
Absolutely. Zirtual Paralegals is designed for flexibility. Here are some of the ways our current clients have scaled with us:
